Sound familiar?
One person ends up holding it all. The AGM date, who's doing the teas, who still hasn't paid their subs. It lives in their head, a few WhatsApp threads and a notebook, and when they get busy, everything stalls.
- AGM prep
- Fete rota
- Chasing subs
- Minutes and actions
- Fixtures
- Hall bookings
One list the whole committee can see
Every job has a name on it
Assign each job to someone, so nobody has to ask who's doing what.
Tick it off and everyone knows
When a job is done, the list updates for the whole committee. No more "did anyone book the hall?"
A chat on every job
Questions and updates stay with the job instead of getting buried in a group chat.
How it works for your committee
- 1
Start your committee's list
Call it something like "AGM 2027" or "Summer fete". Add the jobs as they come to mind.
- 2
Give jobs an owner
Assign each one, so it's clear who's doing what.
- 3
Invite your committee
Share the list with the people who need to see it. They sign in with their own free account and only see what you share with them.
- 4
Everyone picks up and ticks off
Members open the list, find their jobs and tick them off. You see progress without chasing.
Not sure where to start? Try an AGM checklist
Use this as a starting point for your own list.
Show the AGM checklist
- Book the hall
- Confirm the date with the committee
- Send notice of the AGM to members
- Send the agenda
- Collect reports from the chair, treasurer and secretary
- Prepare the accounts
- Arrange refreshments
- Set up the room
- Take the minutes
- Circulate the minutes afterwards
Questions committees ask
How is this different from our WhatsApp group?
A group chat is good for talking and poor for tracking. Jobs scroll away and nobody is sure who said they'd do what. In Shared List App every job has an owner and a tick, so the list always shows what's done and what's still open. Keep the chat for chat.
Do all our members need to download the app?
No. Members need a free account, then they can sign in on the iPhone or Android app, or open the same list in a web browser at app.sharedlistapp.com.
Is it free?
Yes. Shared List App is free to use.
What about members who aren't very techy?
It's deliberately simple: a list of jobs, who's doing them and a tick when they're done. Members open the list, find their name and tick the job. If someone would rather not use it, you can still keep the list up to date for them, and the list history shows who made each change.
Who can see our list?
Only the people you invite. You choose who joins each list. Our privacy policy explains how we look after your data.
What happens when the secretary or chair changes?
The list stays put, so the next person picks it up instead of starting from scratch. If the owner leaves, ownership passes on automatically.
Can we have separate lists for different things?
Yes. Keep one list for the AGM, another for the summer fete, another for a sub-committee, and invite different people to each.
